Scheduling Tool for Meetings With Clients and Prospects

HourMeet is a scheduling tool for meetings with clients and prospects. You share a link, the guest picks a time that is open, and the meeting arrives with a video link and reminders.

Three steps to a scheduled meeting

A meeting needs a host, a time and a place. The tool handles all three. You create a meeting type with a length and a few questions, share the link, and the guest chooses a slot from your open times.

The meeting is added to your calendar through the calendar provider connection, and a video link is attached through video conferencing integration. The guest receives a confirmation with an invitation file. Nothing needs to be typed into either calendar by hand, and both sides see the same time in their own zone.

Avoiding conflicts and short notice

A scheduling tool is only as good as the times it offers. HourMeet checks your calendar before showing a slot, so it never offers a time that is taken. You can add safeguards to protect your day.

  • Buffers before and after meetings
  • Minimum notice before a guest can book
  • Daily limits on the number of meetings
  • Working hours and holidays
  • Time zones for host and guest

Meetings with more than one host

Some meetings involve a group. Collective scheduling offers only times when all selected people are free. Round robin hands each meeting to the next person on a team, and first available picks the earliest opening. Routing forms ask a few questions first so the guest meets the right person. The host never needs to forward a request to a colleague.

On Business and Enterprise, the host receives a brief before the call, built from the guest answers and the public website of their company.

Changes, reminders and cost

Plans change, and the tool expects it. Every message carries reschedule and cancel links. Email reminders go out before the meeting, which helps guests arrive. A released slot returns to your calendar at once, ready for the next guest. Follow up emails after the call let you send a note or a next step without opening a new thread.

Starter costs $49 per month for up to 5 members, Team costs $149 per month for up to 20, and Business costs $499 per month for up to 75. Yearly billing is 50 percent lower. The price is for the team, not for each person.
