Scheduling Software for Accounting Firms and CPAs

HourMeet is scheduling software for accounting firms that run on appointments: tax prep, bookkeeping reviews, payroll setup and year round advisory. Clients pick a time with the right preparer, in their own time zone, with no email chain.

Why firms outgrow email and spreadsheets for appointments

A small firm can run on a shared calendar until the first week of February. Then returning clients, new clients, extension filers and business owners all want a slot at once, and the front desk becomes a switchboard. Every call or email asks the same three things: who is available, how long will it take, and what should I bring.

A booking page answers those questions before anyone calls. Each service gets its own meeting type with its own length, so a 20 minute tax question does not land in a 90 minute return review. The client sees real openings, chooses one, and gets a confirmation with the preparation checklist attached.

Meeting types that match how a firm sells

Most firms sell a handful of repeatable appointments. Build each one once and the whole team uses it.

  • Individual tax preparation with a document checklist in the confirmation
  • New client consultation for small business owners, with a short intake form
  • Quarterly bookkeeping review with a recurring option for existing clients
  • Payroll and sales tax setup calls with a longer default length
  • Year end planning meetings that open only in the months you want them

Send each client to the right person

Partners usually want advisory work, seniors handle business returns, and staff accountants take individual filings. Routing forms ask two or three questions up front, such as the type of return or the size of the business, and then show only the booking page for the person who handles that work.

When several preparers cover the same service, round robin shares new appointments evenly so one person is not buried while another is idle. If a client already works with a named CPA, a direct booking link to that person keeps the relationship intact. Daily limits and buffers protect preparers during the weeks when the calendar would otherwise fill to the edge.

Fewer no-shows during busy season

An empty chair in March costs real money, because the slot could have gone to a waiting client. Email reminders go out before each appointment, and every message includes reschedule and cancel links, so a client who cannot make it frees the slot instead of disappearing.

Custom questions collect what the preparer needs ahead of time, such as filing status, the tax year, or whether the client has a new business entity. The preparer opens the appointment already knowing the situation. With AI meeting prep briefs on the Team plan, the booking answers and the meeting history are summarized into a short note before the call.

Time zones and remote clients

Many firms now serve clients in other states. HourMeet shows each slot in the time zone of the person booking and sends calendar invitations that convert correctly. A video link is added to every confirmation, so remote appointments start on time without a second email.

Flat pricing for a firm, not a charge per preparer

Seasonal hiring makes per seat pricing awkward. HourMeet charges per team. Starter costs $49 per month for up to 5 team members and suits a small practice. Team costs $149 per month for up to 20 members and adds round robin, routing forms and own domain branding. Business costs $499 per month for up to 75 members and adds SSO and an audit log for larger firms. Yearly billing is 50 percent lower, and adding a seasonal preparer does not add a seat charge.

Start with the Starter plan if your firm has fewer than six people who take appointments. Move to Team when you want to route clients automatically or share appointments across preparers.

What the client sees

The client opens a link from your website, an email signature or an engagement letter. They pick a service, see openings in their own time zone, answer a few questions and confirm. The confirmation lands in their calendar with the address or video link, and reminders follow. If something changes, one link moves or cancels the appointment, and your calendar updates without anyone touching it.

Questions

Yes. Each service is its own meeting type with its own length, buffer and questions, so a quick tax question and a full return review never share a slot.

Yes. A routing form asks whether the client is new or returning and shows the matching booking page, or sends a returning client straight to their own preparer.

Yes. Each preparer connects their calendar, and HourMeet shows only times when that person is actually free.

No. Pricing is per team. Starter covers up to 5 members, Team up to 20 and Business up to 75, so seasonal staff do not add seat charges.
